Job description:
· To maintain all incoming and outgoing calls.
· To prepare all inter office communication notices.
· To attend all telephone calls.
· To take dictations and prepare all necessary letters / circulars.
· To organize for weekly executive meetings / other meetings.
· Collecting data from all departments for Group MIS (Management Information
System), Performance Review Report, Apollo XI programmer, Snap Shot 4
blockers.
· To receive fax message and forward to the concern department without any
delay.
· To discourage the patient / attendants who approach us for discount.
· To remind General Manager about important meetings.
· To prepare occupancy report on daily basis.
Key Responsibilities:
· To coordinate the paper coming for General Manager Approval.
· To manage telephone directory.
· To update the press clipping file.
· File management
· To coordinate for any communication to top management through fax.
· To give appointments to the visitors and coordinate with them whenever
necessary.
· To coordinate the materials Indent for general manager approval
· To coordinate with the night facilitator for preparing night facilitator duty roaster
· To prepare the leadership Walk duty roaster
· To verify the Gate Pass Note
· To coordinate Conference hall for booking
· To prepare tracker report on daily basis
· Collecting data from all departments for AOP on monthly basis
